Step 1: Use a clear subject line like Refund Request - Order Number. Agents scan emails quickly. Make yours easy to categorize.
Step 2: State your request in the first sentence. Do not bury the lead.
Step 3: Attach evidence. Screenshots of the problem, policy pages, receipts. Make it easy for them to say yes.
Step 4: Follow up after 5 days if no response. Be polite but persistent.
Step 5: If denied, ask for escalation. First-line agents have limited authority. Supervisors can make exceptions.
