The Ideal Refund Email Format. Bold Headers and Bullet Points Win.

I A/B tested two versions of the same refund email. Version 1: A wall of text in a paragraph. Version 2: The same information but with bold headers and bullet points. Version 2 got a response 3 days faster. Support agents scan emails quickly. They do not read every word. If your email is a dense paragraph, they might miss key information. Format your email for scanning: Bold header for each section. Bullet points for key details. Short paragraphs. Important dates and amounts should stand out. An example: REFUND REQUEST. Order: #12345. Amount: $149.99. Reason: Product defective. Evidence: Attached photos. Resolution requested: Full refund. This format makes it easy for the agent to process your request. The easier you make it, the faster they approve it.
