Why Copy-Paste Refund Templates Get Rejected. Personalize or Perish.
I used a generic refund template I found online. It said: "I am writing to request a refund for a recent purchase. The item did not meet my expectations." The company replied: "We see you used a template. Please provide specific details about your purchase." They rejected my refund. I rewrote the email with specific details: specific product name, specific issue, specific date, specific amount. I also mentioned something personal: "I bought this for my daughter's birthday and she was very disappointed." They approved the refund within a day. Generic templates signal to agents that you are mass-producing refund requests. Legitimate customers provide specific details. If your email looks like you copied and pasted, agents will assume you are trying to scam them. Personal details build trust.
